The On-Boarding Specialist serves as the main point of contact for HR-related queries. The role is in-charge of general HR Administrative tasks which includes manual checking and entering data from various source documents into the computer system for storage, processing and data management purposes. The position is also responsible for maintaining employment files and records as per company policy and legal regulations; updating personnel transactions in the HRIS system; provide verifications of employment; maintain HR paperwork, to include processing terminations, transfers, and job title changes.
GENERAL RESPONSIBILITIES and KEY SPECIFIC DUTIES
Provide strong business unit partnership and general administrative support to the HR partner teams and overall HR department and respond to inquiries from employees and management.
Ensures accurate documentation of personnel changes and additions to employee files and advises and / or forwards all changes to the HR Manager and Payroll provider.
Maintain leave accruals and other payroll accruals as necessary and provide payroll support to Operations Manager and payroll provider.
Maintains and updates 201 employee files, documentation and records of the unit.
Handles employee clearance for those employees leaving the company including clearance routing and processing, and releasing of final pay.
Schedules and coordinates meetings, appointments and travel arrangements for company employees and visitors/clients.
Maintain employee information and company organization chart in HRIS system.
Provides clerical support and assistance to other sections in the HR Office; prepares, maintains and stores a variety of HR records and files; orders and maintains supplies for HR.
Any other task/duty as directed by client/management
New hire Onboarding and Reporting
Administer all personnel processes related to new and existing employees including personnel file administration, ID, and general inquiries.
Execute and optimize employee on-boarding and off-boarding processes.
Process and analyze HR data for reporting purposes such as turnover tracking and headcount analysis
Ensure completion and compliance of all onboarding requirements for new employees
Respond to various requests regarding on-boarding procedures and policies from employees and contractors
Admin and Payroll
Create and maintain personnel records and attendance reports
Responsible for accurately entering information into the relevant systems in a timely manner whilst ensuring quality and accuracy of data
Check and validate completeness of documents before process; check source documents for accuracy and verify data and correct data where necessary
Provide administrative support in the area of payroll
Allocate emails to the specific addressee
Ensure all work requests are done in accordance with agreed timelines
Candidate must possess at least a Bachelor's/College Degree in Human Resources, Behavioural Science or equivalent
At least 1-3 years of working experience in a Human Resources role in an administrative capacity
Excellent English communications skills (both oral and written) with the ability to communicate with all levels of authority
Must be proficient in MS Office Applications and is computer savvy
Able to work independently, highly driven, team player
High attention to detail, dependable with value for work ethics and customer service
